A work permit and a simplified work notification are filed by the employer only through the portal <a href=\"https:\/\/www.praca.gov.pl\">praca.gov.pl<\/a>: paper and post are no longer accepted on this track. Below \u2014 what the company is obliged to do after the permit is issued and if the employee does not start.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-02df8f1 elementor-widget elementor-widget-html\" data-id=\"02df8f1\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"html.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<div class=\"w-1300\">\n<h2 class=\"h2\">What the employer must do<\/h2>\n<\/div>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-d741f1f elementor-widget elementor-widget-text-editor\" data-id=\"d741f1f\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p class=\"p1\">The company sends the application only through <a href=\"https:\/\/www.praca.gov.pl\">praca.gov.pl<\/a>. When the person has started work, a copy of the contract is also uploaded to the portal \u2014 within the time the law allows, not \u00abwhen accounts get round to it\u00bb. If the firm\u2019s name or address has changed, or the employee\u2019s job title has changed without a change of duties, that too must be reported. The deadlines are short, usually counted in days.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-c5f3366 elementor-widget elementor-widget-html\" data-id=\"c5f3366\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"html.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<div class=\"w-1300\">\n<h3 class=\"h3\">If the employee does not start<\/h3>\n<\/div>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-0015102 elementor-widget elementor-widget-text-editor\" data-id=\"0015102\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p class=\"p1\">If the person does not start on time, is absent longer than the statutory threshold, or finishes early, the employer reports this to the voivode through the same portal. Otherwise the fine for the information duty is a guide of up to 5000 PLN \u2014 plus separate sanctions for illegal work, which after 2025 have become markedly tougher.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-be9d7ef elementor-widget elementor-widget-text-editor\" data-id=\"be9d7ef\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p class=\"p1\">We do not handle HR fines after the fact. If the notification deadline has already passed, that is for an employment lawyer and the account on praca.gov.pl. We can help separately with the employee\u2019s residence card: that is already their application, not the firm\u2019s.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-9339bd1 elementor-widget elementor-widget-html\" data-id=\"9339bd1\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"html.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<div class=\"w-1300\">\n<h3 class=\"h3\">The employee\u2019s residence card<\/h3>\n<\/div>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-c0c7d4f elementor-widget elementor-widget-text-editor\" data-id=\"c0c7d4f\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p class=\"p1\">The work permit is filed by the company on praca.gov.pl. The residence card is filed by the employee themselves \u2014 this is an application \u00abmay they live in Poland\u00bb, not \u00abmay they work\u00bb. HR can gather documents from the firm, but they cannot log in and sign the application for the person.<\/p><p class=\"p1\">From 27 April 2026 the card is accepted electronically only. If you take paper to the voivodeship office, it will not be
